How to Build a Tender Register Your Team Will Actually Use

Most tender registers start well. Someone builds a spreadsheet, colours the closing dates and shares it with the team. Three months later there are four versions of that file, two of them on a laptop that is out on site.

Decide who owns the register

One person must be accountable for keeping the register accurate. That does not mean they capture everything. It means the rules are theirs: what gets recorded, when a status changes and how a tender is closed out.

Record the fields that drive decisions

A useful register carries the client, project name, tender number, reference, description, estimated value, opening date, closing date, closing time, submission status, submission date, award status and any comments. Anything less and someone has to phone around to answer a simple question.

Work backwards from the closing time

Closing time matters as much as closing date. A tender that closes at 11:00 needs the documents printed the day before. Set reminders that fire early enough to act on: two weeks out for the decision to bid, one week out for pricing, two days out for the compliance check.

Keep the documents with the record

The register is only half the job. Tender documents, addenda, returnable schedules and the final submission should live against the tender record itself, not in an email thread. When an award query comes six months later, the file is still complete.

Review it in a standing meeting

Fifteen minutes a week is enough. Look at what closes in the next fourteen days, confirm who is preparing each submission and close out anything already decided. A register nobody reviews becomes a list nobody trusts.

How DataSto handles this

The DataSto tender module holds all of those fields in one register, sorts opportunities by what closes next, attaches supporting documents to the tender, and sends reminders before deadlines. Award status and submission history stay on the record for reporting later.
